Sensory Room, Sensory Integration Room or Calming Space? A Practical Guide for Schools

“Sensory room” can mean very different things to different people. One school may picture an interactive room with light, sound and tactile features. Another may need a specialist space where an occupational therapist delivers Ayres Sensory Integration®. A third may simply need a quieter, lower-stimulation area where pupils can step away from a busy environment.

Those are three different briefs. Treating them as interchangeable can lead to a room that looks impressive but does not suit the people, activities or professional input it was meant to support.

Before selecting equipment, define what the space is for, who will use it and how it will be managed. That first decision gives every later choice a clearer purpose.

Three types of sensory space

The terminology used in education is not always consistent, but the following distinctions provide a useful starting point.

1. A multi-sensory environment

A multi-sensory environment, sometimes simply called a sensory room, may bring together controllable light, sound, projection, tactile features, comfortable seating and interactive equipment.

The emphasis is often on creating a flexible environment that can be adjusted for different users and activities. Bubble tubes, fibre optics, wall panels, projectors and switches may all have a place, but the equipment list should follow the brief rather than define it.

Control matters. A room that can be simplified, dimmed or changed one feature at a time offers staff and users more choice than a space where every effect is permanently active. Research into multi-sensory environments is still developing, so practical observation, user preference and professional judgement remain important. A multi-sensory room should not automatically be described as therapy.

2. A sensory integration room

Ayres Sensory Integration® is a specific, individualised, play-based occupational therapy intervention. The Royal College of Occupational Therapists distinguishes it from broader sensory activities and sensory-based approaches. It is delivered by a therapist with appropriate postgraduate training and uses recognised principles.

A sensory integration room may therefore need specialist movement and suspension equipment, suitable matting, adequate clear space and a support structure designed for the intended loads and activities. Its layout should allow the therapist to adapt and grade activities while maintaining an appropriate level of challenge.

Buying a swing does not by itself create an Ayres Sensory Integration environment. The practitioner, assessment, intervention plan, equipment, structure and safety arrangements all need to work together.

3. A calming or lower-stimulation space

A calming space usually has a simpler purpose: to offer a more predictable environment with fewer competing demands. It may include comfortable seating, reduced visual clutter, softer or dimmable lighting, acoustic treatment and carefully selected portable resources.

It does not have to be a dark room, and it does not need to contain every sensory effect available. In some settings, natural light with effective blinds, clear storage and good acoustic control may be more useful than adding another illuminated product.

The term “calming” should also be used carefully. No item or room will have the same effect for everyone. The aim is to create options and reduce avoidable environmental barriers, not promise a particular response.

Six questions to answer before choosing sensory equipment

1. Who will use the space?

List the intended users, age range, likely group size and relevant access requirements. Consider wheelchair circulation, transfers, reach ranges, seating heights and the position of controls. Where possible, include pupils, families, occupational therapists and the staff who will run the room in the planning process.

2. What should happen there?

Describe the actual activities rather than relying on a room label. Will the space support therapist-led sessions, individual quiet time, interactive group work, curriculum activities or a combination of uses?

A short written brief can prevent incompatible expectations later. For example, an active movement session and a low-stimulation retreat may be difficult to provide at the same time in one small room.

3. What professional input is required?

If the proposed space will support assessment or therapy, involve the relevant occupational therapist early. They can help connect room layout and equipment choices to the intended professional plan.

For broader school sensory approaches, use clear language and agree how staff will select, introduce and review activities. Avoid presenting general sensory resources as though they are a clinical intervention.

4. What can the room safely accommodate?

Check the room dimensions, ceiling height, doors, windows, heating, ventilation, electrical provision and wall construction. Suspended equipment needs particular attention: the supporting structure, attachment system, working loads, clear operating area, matting, inspection and supervision arrangements must all be suitable.

Follow the product instructions and your organisation’s risk-assessment process. Structural or electrical questions should be referred to an appropriately competent professional.

5. How much choice and control will users have?

Consider whether lighting, sound, projection and interactive effects can be controlled individually. Keep switches accessible to their intended users and make the control system easy for staff to understand.

Cardiff University’s school sensory-room guidance emphasises the value of controllable equipment. One Cardiff study involving autistic children found that changing who controlled the sensory equipment affected some observed behaviours during sessions, while several other measured outcomes did not change. This is useful design evidence, not a guarantee of benefit for every user.

6. Who will manage the room after handover?

Decide who will hold the instructions, organise staff orientation, report faults and coordinate cleaning, inspection and servicing. Include labelled storage in the design so portable resources do not obstruct circulation or turn the room into an equipment store.

A straightforward room that several staff can operate confidently is often more valuable than a complicated installation understood by only one person.

Avoid the “hybrid room” trap

Many schools need one room to serve more than one purpose. That can work, but the compromises should be planned rather than accidental.

Useful strategies include:

  • Creating distinct active and quieter zones
  • Using storage to remove equipment that is not in use
  • Controlling light and sound features independently
  • Keeping a clear route between the door, seating and controls
  • Scheduling incompatible activities at different times
  • Recording agreed room modes for staff, such as “quiet”, “interactive” and “therapist-led”

Do not fill every wall and floor area simply because space is available. Negative space supports circulation, supervision and future flexibility.

Choose sensory equipment after the brief

Once the purpose is clear, equipment categories can be compared more intelligently.

For a multi-sensory environment, the priority might be controllable lighting, interactive switching, projection, tactile features or comfortable positioning. For a therapist-led sensory integration space, the focus may include suspension, movement, balance and motor-planning equipment selected around professional objectives. For a lower-stimulation space, the strongest choices may be fewer: suitable seating, controllable lighting, acoustic measures and secure storage.

Ask each potential item the same questions:

  • What activity will it support?
  • Who will be able to access and control it?
  • What space, fixings, power or supervision will it need?
  • How will it be cleaned, inspected and maintained?
  • Can staff explain why it belongs in this room?

If the last question is difficult to answer, return to the brief before ordering.

Build in accessibility, handover and maintenance

Accessibility is part of the design, not a final check. Review circulation, reach, contrast, seating, control positions and the way users enter and leave the space. Consider whether glare, background noise or an over-complicated control panel could introduce new barriers.

Plan the handover at the same time as the room. Staff need to know how to operate the main features, where instructions are kept, which checks are required and how to isolate or report a fault. Product-specific guidance and inspection requirements should take priority over generic checklists.

Finally, allow the room to evolve. User feedback, staff observation and professional review may show that a layout, setting or equipment choice needs adjusting. A successful sensory space is a working environment, not a finished display.
